UpdateAI uses Recall.ai to capture meeting recordings across Zoom, Teams, and Google Meet

UpdateAI could only record Zoom meetings through Zoom Cloud Recording, which required users to be the meeting host on a paid plan, locking them out of a large share of potential customers on other platforms. Attempting to build their own cross-platform meeting bot proved extremely difficult and would have required a dedicated full-time engineer just for maintenance.

How it works
Common implementation structure
How this type of workflow is generally built, generalized across documented cases — not tied to any one vendor's stack. Click any stage to read what happens there. Specific products that implement these stages appear in “Tools commonly seen” below.

Outcome

UpdateAI regained the engineering hours lost to bot development, expanded their market to customers on Google Meet and Microsoft Teams, and saw immediate ROI from switching to Recall.ai.

What failed first

UpdateAI's internally built meeting bot could not handle the volume of edge and corner cases, and previous attempts to rely on outside software vendors for critical infrastructure also failed.

Results
Time savedgained back the hours they had lost on hiring people and trying to build a recording bot internally
